Publishing Guidelines

Ephemere is dedicated to publishing high-quality photography books and building strong partnerships with Photographers. The Publisher provides comprehensive support, from concept to completion, helping Photographers bring their unique visions to life through beautifully crafted photobooks printed to the highest standards here in Japan. These guidelines outline our publishing process, fees, and expectations, ensuring a transparent and successful experience.

3.1 — Publisher’s Fee

3.1 Publisher’s Fee — Notes

Meetings with the Publisher — Any additional meetings beyond those included in the package will be charged at $75 per hour.

Social Media Promotion — Additional social media posts beyond those included in the package will require a separate budget.

    • 1 Instagram post with 10 slides: $100

    • 1 Instagram story promoting the book: $50

Event Representation — Representation at relevant events is subject to availability and the theme of the event. The Publisher will select particular titles and bring specific books at its own expense and discretion. The specific deliverables and timeline for each package will be detailed in the project proposal. The Publisher will discuss which package best suits the Photographer's needs during the initial consultation. The fees listed above are starting points and may be adjusted based on the specific requirements of the project.

ISBNs — All Ephemere books are assigned registered ISBNs. The ISBN is a unique identifier for the book and is necessary for distribution and cataloging purposes. The ISBN is owned by the Publisher, but it is licensed to the Photographer for use with the specific edition of the Book covered by this agreement. The ISBN is printed on the colophon page of the book and should follow the formatting guidelines of the National Diet Library of Japan, as one copy of each publication is submitted to them.

Printing Partner: Ephemere works with a high-quality printing partner in Japan that specializes in photo book printing. This ensures that your book will be produced to the highest standards with meticulous attention to detail and color accuracy.

File Preparation: The printing partner requires print-ready PDF files. While a specific color profile is not mandatory, we recommend consulting with the Publisher to ensure optimal color reproduction. All files should be saved with a minimum resolution of 400 DPI.

Communication & Management: Ephemere acts as the liaison between the Photographer and the printer, handling all communication and file transfer. This ensures a smooth and efficient printing process, even though the printer may sometimes take time to respond due to their workload.

Color Proofs: Color proofs are available upon request and are highly recommended for Photographers who require precise color matching. Please note that color proofs are an additional expense and are typically covered by the Photographer. The Publisher will provide separate quotes for color proofs upon request.

Reprinting: If the initial print run of the Book sells out and the Photographer wishes to reprint, a new agreement must be made with the Publisher. This is because each edition of the Book requires a new ISBN (see above).

Modification/Revision: If the Photographer wishes to make significant modifications or revisions to the Book, this will also require a new agreement and potentially a new ISBN.

All payments will have an additional 3% processing fee for online payments through PayPal or Stripe. This fee will be added to each installment to cover the transaction costs. Invoices will be sent to the Photographer for each installment. Fees are payable via PayPal or Credit Card through the invoice.
